Vaccine Policy

Last updated: January 2025

BenignBit ("we", "us", "our") is committed to safeguarding the health and well-being of our employees, clients and the communities in which we operate. This policy outlines our approach to vaccinations and related workplace health measures.

Purpose

This policy is designed to reduce the spread of vaccine-preventable illnesses in our workplace, protect vulnerable individuals, and ensure a safe environment for in-person collaboration, client meetings and travel.

Scope

This policy applies to all employees, contractors, interns and visitors attending any BenignBit office or company-sponsored event. It is reviewed and updated in accordance with guidance from public health authorities.

Vaccination expectations

  • We strongly encourage all employees to stay up to date with vaccinations recommended by their local health authority, including seasonal influenza and COVID-19 boosters.
  • Employees who are not vaccinated are encouraged to follow current public health guidance regarding masking and testing when working on-site.
  • Proof of vaccination may be required for specific client engagements or travel where mandated by the client or destination country.

Medical and religious exemptions

We respect individual health circumstances and beliefs. Employees may request an exemption from any vaccination requirement based on a documented medical condition or sincerely held religious belief. Requests should be submitted to Human Resources and will be reviewed on a case-by-case basis. Reasonable accommodations may include remote work arrangements, modified duties or enhanced safety protocols.

Workplace safety measures

  • We maintain clean, well-ventilated office spaces and provide sanitization supplies at all workstations.
  • Employees experiencing symptoms of a communicable illness are asked to work remotely and seek medical advice before returning on-site.
  • We support flexible sick leave so employees can recover without pressure to come to the office.
  • During periods of elevated public health risk, we may temporarily adjust on-site attendance, meeting formats or travel policies.

Privacy

Any vaccination information collected is treated as confidential health data. It is stored securely, access is restricted to authorized personnel only, and it is never shared externally without consent except where required by law.

Travel

Employees traveling for company business must comply with the vaccination and health entry requirements of their destination. We will cover reasonable costs associated with required vaccinations for approved business travel.

Review and updates

This policy is reviewed at least annually and may be updated in response to new public health guidance. Employees will be notified of any material changes.
